The Surgical Coordinator we are looking for will be there to assist the patient all the way through their surgical journey with kindness, patience, and an upbeat and welcoming attitude.


Job Description

The Surgical Coordinator will work directly under our Office Controller and indirectly report to the Plastic Surgeons in the office that they will be supporting. The Surgical Coordinator will coordinate with other members of the team to ensure clear, efficient communication while maintaining a harmonious, friendly environment. Organization and attention to detail will ensure that our valued patients are cared for at the highest of standards. This role will include scheduling surgeries, appointment reminders, keeping patient records, entering post-surgical data, and ordering surgery equipment. The coordinator will manage incoming and outgoing phone calls and emails, must be organized and able to manage all surgical documents, keeping patient data up to date, ensure that all pre-surgery paperwork is completed and documented, scheduling pre-operative appointments, and answering all questions in support of the Plastic Surgeons to ensure the patients are prepared before surgery, and are advised of all post-operative equipment and care needed.



Responsibilities

  • Duties include but are not limited to fielding incoming patient enquiries via phone call or email, booking patients for consultations and surgery, communicating all pre-operative information to the patients and accurately ordering required equipment for the surgery and post-surgery (such as breast implants, compression garments, etc.), record keeping using Electronic Medical Records system, managing the Plastic Surgeons’ schedules for clinical days, hospital days, surgical operating days and meetings.
  • Providing pricing quotes to patient's post-consultation, discussing pricing framework with patients, answering any additional questions that patients may have after the consultation, assisting in the conversion of consultation patients to booking surgeries.
  • Receive and process requests for plastic surgery consultations and coordinating with the physicians’ schedules.
  • Obtaining all required documentation from patients including consent forms. Educating patients on the procedure preparation and post-procedure care as necessary, ensuring all required documentation is provided to patients.
  • Scheduling consultations, booking surgeries, and evaluating surgical procedures to determine required operating room times to be booked.
  • Acting as a communication link; fielding questions and concerns from patients (pre- and post-op), coordinating with other clinic staff to ensure exceptional patient experiences.


    Requirements:

  • Medical office administration experience
  • A minimum of 2 years relevant experience in patient care /surgical coordination
  • Experience with Electronic Medical Record (EMR) systems an asset
  • Strong MS Office application skills including Word and Outlook
  • Experience using medical terminology in a surgical setting
  • Understand the importance of privacy and confidentiality
  • Ability to work well and accurately under pressure; attention to detail is a necessity
  • Excellent organization and time management skills and ability to manage multiple duties while maintaining accurate and high-quality work
  • Exceptional interpersonal skills, well developed professional verbal and written communication skills (both French and English)
  • Strong ability to apply critical thinking skills in different situations
  • Comfortable providing quotes, discussing pricing structures and adding value to patient consultations
  • Bilingual (French and English required)


This is a full-time position and requires an individual who can work flexible hours if necessary.

Salary $24–$30 an hour
